Two-day conference wows delegates
Event Rotary International District Conference 2010Venue Hong Kong Disneyland Hotel Group size 500 Date April 18-19 The brief This year marked the 50th anniversary of the District 3450 (Hong Kong, Macau and Mongolia) annual conference, which included special commemoration activities in addition to the usual two-day conference programme. As a non-profit organisation, organisers were keen to minimise costs while still rewarding the group for their efforts throughout the year. Rotary wanted a venue with the “wow” factor that would be a focal point for delegates throughout the weekend. Challenges“Members are professionals who typically have busy weekends, so it was important to design an attractive programme and ensure families could be involved,” says district governor, Ada Cheng. There were a large number of last-minute confirmations, but in the end attendance figures were high and some optional components were oversubscribed. “For one meal there were 100 people more than we had expected,” she says. “Often our delegates can only attend the main sessions and not the social activities and meals.” This year the programme took this into account, leaving delegates free to participate as they wished. “The hotel organised a special programme and meals for the children, while spouses enjoyed a hotel tour,” she says. ExecutionHotel staff welcomed delegates by waving special Mickey Mouse hands. The official programme began with a leaders’ lunch followed by a kick-off ceremony, which involved Rotary leaders and children marching with flags before performing a welcome song and national anthems. Following the afternoon conference session, the group met in the hotel’s Mickey Maze for a group photo. The governor’s banquet included an awards presentation, and a photo display, as well as entertainment and performances from delegates including a flamenco performance from Rotary’s district governor. The Disney theme was also incorporated. “Chefs brought out bread for the tables in a performance of ‘Be Our Guest’,” says Cheng. The final day included a full day of meetings and a special teambuilding activity for spouses in the Dreamer’s Garden. Comments“The Hong Kong Disneyland team made sure the event went smoothly, and we appreciated that they were so responsive and adaptive throughout,” says Cheng. “Every event has its challenges, but the hotel’s Business Solutions and Events team met the unexpected in a seamless fashion, so delegates were not aware of any changes or difficulties.” ![]()
