The brief
The Summit unites regional pay-TV operators, channels, technology providers and investors to debate and strategise the industry’s future. It opens with a welcome reception followed by a two-day intensive conference, with catered events hosted by the different operators throughout.

Challenges
“Appointing the appropriate vendors locally ensures first-class execution for a world-class event,” says Reagan Chan, vice-president, Media Partners Asia. “Visual is key for a pay-TV conference – we need top-notch, high-definition projection and lighting equipment, and they are difficult to source in Indonesia. Due to this, we sourced and appointed an experienced team from Singapore to execute this event.

“Sourcing premium wine and liquor at an acceptable cost (due to the exorbitant tax rate) and ensuring all the shipments arrived in time for the event were also key.”

Execution
The hotel set-up a special group check-in area by the entrance during the conference days. Five additional vendors from Hong Kong and Bali were appointed to handle the welcome reception, hosted lunches, gala dinner and closing dinner. However, the creative and branding materials for the conference were done in-house.

The operators utilised all of the hotel’s F&B outlets for their sponsored events. A Disney-themed welcome reception was held at Chandra Surya, where Fox International Channels also hosted the gala dinner. The gala featured live performances by American Idol season-nine winner, Lee DeWyze and Diego Bunuel, host of National Geographic Channel series, Don’t Tell My Mother.

Lunch on both conference days was held at Padi. During the first lunch, BBC presented sneak peeks into content for BBC Natural History that was matched by a customised menu from BBC Lifestyle. At the second lunch, ITV Granada engaged distribution heads. The closing dinner was hosted by MNC Group at Champa Garden, an extravaganza featuring impressive performances by local in-house talent.

Comment
“Bali allows our delegates to congregate in remote location with a relaxed setting,” says Chan. “Ayana Resort, with its strategically secluded location and extensive offerings, is a uniquely inclusive venue. These factors attracted our delegates to stay within the resort. As a result, it provided tremendous engagement opportunities and encouraged substantially more interaction between delegates.

“The event services team, in particular, has been very helpful and flexible in accommodating our special requests, such as taking extra care on our VIP guests and switching the TV signal for the entire resort during conference days. Their understanding of our event nature is very helpful when it comes to providing advice on logistics and venue options.”
