The brief
Bayer Healthcare China wanted to host an event to thank its employees for their hard work and also to motivate them for upcoming challenges. Aside from delivering several key perspectives via this event, Bayer Healthcare China also arranged a number of entertainment performances, gourmet food and a city tour for its employees.
Challenges
The trade show arrangement was problematic because it was to be divided into three areas. Because the event organiser came from outside Taiwan, more effort was also required in comprehending and fulfilling their demands.
Additionally, 3,000 participants entering into this single venue simultaneously was another challenge. More than 80 shuttle buses arrived almost at the same time. Without appropriate arrangements this could have completely paralysed nearby traffic.
Organising the dining for 3,000 participants was also important as the catering company had to make sure every participant could enjoy and finish the meal at a specific time in order to avoid delays to the schedule.
Execution
The annual meeting includes conferences, workshops and an awards ceremony. The conference was divided into eight groups. Some groups attended the conference while others attended the social events. On the final day the 3,000-strong group came together for the award ceremony and an evening conference.
Afterwards, the groups broke up into smaller teams in order to visit destinations such as Taroko Gorge, Sun Moon Lake, Puli and the Dr Sun Yat-sen Memorial Hall in Taipei.
