The brief
CLSA Asia-Pacific Markets, one of Asia’s leading independent brokerage and investment groups, hosted its annual investors’ forum in Shanghai.
The event featured several conferences and a forum focused on next year’s economic forecast for China. This was the sixth consecutive year the event was held at Grand Hyatt Shanghai.
Challenges
CLSA block-booked three floors of guestrooms for use as venues for one-on-one meetings. The complex arrangements within these spaces required all-day attention from housekeeping, front office and food and beverage departments regarding the set up, tidiness, sufficient catering throughout the meetings and billing-related issues.
Along with the one-on-one meeting rooms, hospitality rooms were established on each floor providing attendees with all they needed to be successful with their appointments. Due to the overall number of participants and space restrictions, the main group had to be split into two and the two largest meeting rooms of the hotel were used.
Lunchboxes with customised menu items were designed especially for the event. Catering was challenged by both the individual and team meals so as to ensure timely delivery of all services.
Execution
The delegates began arriving on September 10 and the event set-up began on September 12. The official forum ran from September 14 with many individual sessions scheduled in different meeting rooms.
Most of the hotel’s function space was block-booked for the forum. For the sake of timeliness, meals were delivered in meal boxes to each delegate. Efficient kitchen preparation was crucial to ensuring the meeting ran on schedule.
